Integrated Commercial and Operational Catering System for Order Taking, Table Order, Self-Service Kiosk and Kitchen Display

How Qorect created a unified software ecosystem for managing orders, tables, payments, production and daily operations in catering

DEFACTO operates in a demanding catering environment, where speed of service, proper organization of orders and direct coordination between the dining room, cash register and kitchen are critical factors for the daily operation of the business.

With multiple ordering and preparation points, different types of products, the need for fast customer service and parallel operation of tables and self-service, the store needed something more than a simple POS or a disconnected ordering system.

A comprehensive technological infrastructure was needed that would connect commercial management, waiter ordering, table management, table order menu, self-service kiosks, payments, printing in the preparation rooms and kitchen display into a single operational flow.

To meet these needs, Qorect implemented a complete commercial and operational catering system, creating an infrastructure that supports both daily operation and the development of more modern ways of serving.

The challenge

DEFACTO had to manage a large volume of orders from different service points on a daily basis, as orders could come from waiters with portable terminals, as well as from customers via table order menu or from self-service kiosks with the ability to order, pay and collect. This created increased demands on organization, speed, accuracy and coordination, especially in an environment with multiple simultaneous ordering points.

The main challenges concerned direct order taking from portable terminals, proper management of tables and open accounts, ordering via table order menu, supporting self-service kiosks, correct routing of each order to the corresponding preparation room, avoiding delays and errors in communication between the hall and the kitchen, using kitchen display for better production organization and unified monitoring of orders, payments and commercial movements. In such an environment, the use of fragmented systems would inevitably lead to delays, double entries and an increased likelihood of errors.

The needs

DEFACTO needed a single system that could act as a central core for the entire operation of the store. The need was not limited to simply entering orders, but concerned the creation of a comprehensive infrastructure that could organize and automate critical processes, such as ordering from mobile terminals, table and account management, ordering by the customer himself via QR / table order menu, as well as ordering and payment via self-service kiosk.

At the same time, the system had to support the automatic dispatch of items to the correct production points, the use of printers per preparation room, order tracking via kitchen display, the reduction of manual communication between staff and the kitchen, as well as faster service and a better customer experience. Simply put, DEFACTO needed a connected software ecosystem that would bring greater speed, better control and smoother daily operation.

The solution

Qorect implemented a comprehensive catering system for DEFACTO, combining commercial management, order taking, table management, table order, self-service kiosk, payments, printing from preparation rooms and kitchen display in a single environment. The solution allows the business to manage all critical functions from a central point, reducing manual work and increasing the accuracy and speed of order execution.

The system fully covers the commercial catering circuit, order taking with mobile terminals, table management, table order menu for ordering by the customer, self-service kiosk for autonomous ordering and payment, order receipt management, automatic printing in different preparation rooms, kitchen display for production monitoring, as well as item, price and catalog management with real-time order and sales monitoring. In this way, the store operates through a single infrastructure where orders, tables, payments, preparation rooms and kitchen are fully connected and synchronized.

01.

Order Taking with Mobile Terminals

Qorect implemented a comprehensive commercial ERP to organize the daily operations of GRBAZAAR, providing the ability to centrally manage purchases, sales, products, customers, documents and commercial movements, as well as full interconnection with all sales channels of the company. In this way, the ERP constitutes the central core of the company's operation, on which the e-shop, telephone orders, shipments and physical stores are connected, ensuring unified information, greater control and more efficient management of daily processes.

02.

Table Management

Table management is a key part of DEFACTO's operation, as through the system the staff has an immediate view of the status of each table, open orders, accounts and the overall service progress. The implementation allows for the immediate display of available and occupied tables, the linking of orders to a specific table, the monitoring of open accounts, the addition of new items to existing orders, as well as better control of service and the faster closing of accounts. In this way, table management contributes to the overall organization of the store's flow, allowing staff to operate with greater accuracy and consistency and offering a smoother and more organized experience to the customer.

Table Order Menu

DEFACTO has integrated a table order menu feature, allowing customers to view the menu and place an order directly from their table. This feature enhances customer autonomy and reduces waiting time, especially during periods of increased traffic, as the order is entered directly into the system without any intermediate intervention. Through the table order menu, the customer can view the product list, select items, adjust their order where necessary and send it directly to the system. For the business, this feature contributes to reducing pressure on staff, faster service and better utilization of available resources, improving the overall flow of the store.

Self-Service Kiosk with Payment and Order Pickup

To support the self-service operation, Qorect implemented an ordering kiosk, enabling the customer to place the order themselves, through a complete flow that includes product selection, order entry, payment and pickup. This function offers autonomous ordering by the customer, reduced waiting at the checkout, faster service during peak hours, the ability to pay directly from the kiosk, a more organized pickup process and an improved experience for customers who prefer self-service. With the self-service kiosk, DEFACTO can serve a larger volume of customers without increasing the operational burden on staff, while maintaining a high level of speed and organization in the order flow.

05.

Automatic Printing in Different Preparation Rooms

One of the most important aspects of the implementation was the automatic routing of items to the correct production areas, as the system can, depending on the type of order, direct different products to different production points such as kitchen, bar, café or other production areas. This function allows for automatic printing by product category, separation of orders by production point, reduction of internal communication and delays, better organization of the kitchen, faster execution of orders and reduction of errors in production, constituting a critical mechanism for catering establishments with multiple production points and a high service rate.

Kitchen Display System

In addition to printing, Qorect implemented a Kitchen Display function, giving the kitchen team a direct view of orders and production status in real time. The system helps the kitchen better organize the execution sequence, monitor the progress of orders and reduce the possibility of errors or failures. The function offers direct display of orders in the kitchen, better prioritization of tasks, monitoring the status of each order, reduction of lost or late orders, better communication between the hall and production and smoother operation during peak hours. With the kitchen display, DEFACTO gained better control over production and a more organized daily flow.

The Business Result

With the completion of the implementation, DEFACTO acquired a comprehensive and flexible technological infrastructure, capable of supporting the requirements of a modern catering establishment. The solution offers unified management of orders, tables and payments, faster order taking by waiters via mobile terminals, better organization of tables and open accounts, the ability for customers to order via table order menu and self-service with kiosk and payment.

At the same time, it supports the automatic routing of items to the correct preparation rooms, better organization of production via kitchen display, the reduction of manual work and errors, as well as faster and more efficient customer service. The value of the implementation lies in the creation of a fully connected operating environment, where the hall, cash register, kiosk, kitchen and preparation rooms operate as parts of the same unified software ecosystem.
